About the Division
The Asset Management and Operations Division help government educational facilities maintain and manage their buildings and grounds. The Division delivers programs and systems to ensure education facilities are routinely maintained and upkept. The Branches included in the Division are Maintenance Delivery, Asset Programs and Asset Operations.
About the Role
As a Project Officer, you will provide strategic and operational support across a range of diverse and concurrent projects, working closely with one or more Executive Officers. The role delivers high quality, responsive administrative and project support in a fast-paced environment and operates alongside the leadership team. It requires strong initiative, self-motivation, and a solution focused approach, along with well-developed relationship building, planning, and collaboration skills to effectively engage with executive stakeholders and the broader support team.
Key duties will include managing diaries, emails and meetings, preparing written communications, supporting HR processes, processing invoices and payments, and assisting with various projects across the Division. You will be responsible for ensuring time-critical tasks are completed, maintaining accurate and accessible records, and offering support to other teams within the division.
Attributes
The ideal candidate will have a proven track record in providing administrative support to senior executives, with excellent communication and organisational skills. They will be resourceful, able to collaborate effectively with team members and contribute to a positive work environment. Strong attention to details and managing multiple responsibilities are essential for successful task completion.
The key accountabilities of the role are to:
- Provide high-quality executive and operational support to Executive Director and Directors, helping coordinate priorities and enable the effective operation of the Project Delivery leadership team.
- Coordinate executive workflows, governance activities and business rhythms, anticipating priorities and supporting the timely delivery of divisional commitments.
- Build strong working relationships across the Office of the CEO, corporate divisions, ministerial offices and external stakeholders to facilitate effective coordination and communication.
- Prepare and coordinate high-quality briefing material, reports, presentations, correspondence and meeting documentation, ensuring accuracy, consistency, and attention to detail.
- Monitor and follow up priority actions, governance requirements and organisational commitments to support effective decision-making and delivery
- Contribute to continuous improvement by identifying opportunities to streamline executive support processes, strengthen governance and improve ways of working across the division
- Work collaboratively within the Executive Support Hub to provide flexible, responsive and consistent support across the Project Delivery division
- Coordinate executive administration, including complex diaries, meetings, travel, procurement and other business operations, exercising sound judgement in managing competing priorities.
