AV is seeking an experienced executive assistant to provide administrative support for our Operational Logistics Division. This is a full time, permanent position currently based in Blackburn North.

 

About the role

Reporting to the Director Operational Logistics, the responsibilities of this position will include, but are not limited to: 

  • Be the initial point of contact for enquiries and correspondence to the Director Operational Logistics.
  • Develop appropriate systems, procedures, and controls to enhance the accuracy, timelines, and presentation of work to support the Directors role and responsibilities.
  • Foster constructive and effective working relationships within the Operational Logistics Division and across the organisation.
  • Provide support to staff involved in the implementation of any process improvement initiatives.
  • Draft, review, and screen various documents and ensure confidentiality, compliance, and completeness by assigning or tracking tasks.

 

About you

To be considered for this position you will possess: 

  • Completion of a degree or relevant industry certification with subsequent relevant experience or an equivalent combination of training and relevant experience.
  • An understanding of and experience in regulatory environments and the workings of Government and public sector environments.
  • Demonstrated experience in researching and analysing information, and providing reliable professional advice to senior level executives.

 

It is also expected that you have demonstrated experience in developing and maintaining administrative systems and processes, with experience in planning, scheduling and coordinating work packages. You will also have the ability to work effectively under pressure and within tight timelines with strong attention to detail using appropriate checking processes to ensure information is recorded accurately. You will also use your judgement and maturity to ensure matters of a confidential or sensitive nature are handled and dealt with appropriately and diplomatically. The successful candidate would also possess advance computer skills with a proficiency of Microsoft Office Suite applications.

This position is graded at AV3 under the Ambulance Victoria (Management and Administrative Staff) Enterprise Agreement.
