About the branch

The Executive Director Marketing, Communications and Partnerships oversees the functions of five directorates: Community Programs (volunteering, historic heritage, community health, wellbeing and inclusion); Partnerships (tourism, education and interpretation, national and international engagement, internal communications, philanthropy and memberships); Marketing and Customer Experience (including digital services, website, customer service and support), Communications (media, communications and stakeholder engagement) and the Corporate and Business Strategy unit.  The Executive Assistant provides a full business support service to the Executive Director.

About the role and your responsibilities:  

You will efficiently manage the Executive Director's office by providing a high level of administrative support and be well presented as the first point of contact and liaison for staff and stakeholders. You will support and assist the Executive Director and Divisional Management Team in the overall management of the Division in the delivery of divisional objectives and corporate initiatives. Other duties include establishing and maintaining an efficient office system, contributing to business and budget management, managing ministerial requests, timelines and delivery as well as managing office files and other records.

In this role you will implement improvements to existing work procedures, practices and systems; interface, communicate and resolve issues on behalf of the Executive Director with staff and key stakeholders. You will manage the Executive Director's diary; schedule appointments, anticipate needs and ensure that the Executive Director has all necessary papers required for meetings. You will also receive, record and prioritise all incoming correspondence and redirect as appropriate.

To be successful for this role you will need:

  • Certificate qualification in office administration or business-related field and/or equivalent experience in a similar field is highly desirable.
  • Demonstrated extensive experience in a business support role with responsibility for the proactive management of a senior executive's activity.
  • Strong organisational skills and ability to prioritise multiple tasks seamlessly with excellent attention to detail.
  • A current employee Working with Children Check is required.
