Position Details

Air Ambulance Victoria (AAV) is excited to welcome applications from suitably experienced administrators for the position of Administrative Support Officer. This full time position is located at the Air Ambulance headquarters in Essendon Fields and is for a fixed term until October 2018.

The primary function of this role is to provide effective and efficient administrative, secretarial and office management support to the Manager, Air Operations and Team Managers within Air Ambulance, including those based in regional AAV bases to ensure the efficient running of the Department.

About the role

Reporting to the Manager, Air Operations, the responsibilities of this position will include, but are not limited to:

• Assisting the AAV management team with administrative and secretarial support;

• Coordinating the printing and assembly of AAV materials;

• Managing the complaints, commendations, operational and clinical reviews;

• Assisting the AAV management team with the coordination of AAV operational staff training and AAV recruitment processes;

• Maintaining the Air Maestro training database and producing reports as required;

• Maintaining the Helipad register and database and making amendments as required;

• Sourcing and analysing information for specific AAV projects and requests;

• Assisting with ad hoc research and project work; and

• Assisting in the Flight Coordination Centre when required.

About you

To be successful in this position you will have demonstrated experience and expertise in providing secretarial and administrative support within an operational environment and have an understanding of meeting protocols, including minute taking the preparation of agendas.  Demonstrated experience in the development and maintenance of administrative systems as well as Air Maestro is crucial for success in this role.

With proven experience in using computerised financial information systems, word processing and spread sheeting applications, you will also possess intermediate computer skills and be proficient in Microsoft Office suite applications.

You will be a self-starter, with an ability to work exceptionally well autonomously and as a member of a team.  You will possess excellent problem solving skills, a strong work ethic, good time management skills, and a high level of attention to detail and the initiative and maturity to handle confidential and sensitive matters.

An interest in health services and experience working in an Emergency Services and/or Emergency Management organisation would be advantageous, but is not required.
