About us
The Department of Government Services (DGS) was established on 1 January 2023 to improve everyone's experience of doing business and interacting with the Victorian government. We bring important day-to-day services together in one department to make things easy and seamless for Victorians and businesses. We are doing this by connecting and digitising our systems and platforms across state and local government as well as streamlining our corporate and procurement services.
About the role
Accommodation, Carpools and Library Services (ACLS) is part of the Victorian Government's commitment to a whole of government approach to the provision of shared corporate services.
The successful candidate will be required to support a wide range of commercial construction projects. The projects vary from office refurbishment, office fitout, minor works and new builds.
The Project Coordinator is accountable for ensuring deliverables, outcomes and plans are coordinated effectively, working in consultation with the delivery team and collaboratively with internal and external stakeholders.
Risk identification and mitigation are of utmost importance to the successful delivery of the projects.
About you
To be considered for the role, you must be able to demonstrate:
- Experience and proficiency in project coordination, design or construction from a private or public sector background.
- Proactive problem-solving skills through investigating policy or process guidelines; otherwise seeks guidance by providing information and ideas relevant towards resolution of problem.
- Understands concepts enabling improvements in critical thinking and problem solving.
- Executes work tasks against plan; where plans are not defined, prioritises tasks in line with the urgency and impact of tasks; utilises approved task management tools; maintains accurate project records.
- Contributes ideas toward improving the effectiveness of project coordination to facilitate delivery; understands and delivers against standards of quality and effectiveness.
- Established interpersonal and negotiation skills, with an ability to establish and maintain effective working relationships and provide expert advice to a diverse range of internal and external stakeholders.
Mandatory requirements
- Formal qualification (or working towards) qualifications in Engineering, Design or Construction Management, or Project Management.
Key Accountabilities
- Coordinate and support the delivery of capital works projects allocated to ACLS providers to program, quality and budget in accordance with relevant financial legislation and department policies.
- Monitor third party vendors for compliance with government policies and building standards on quality, methodology, documentation and governance practices.
- Under direction, support the procurement and administration of contracts with the team of technical advisers, construction contractors and other consultants associated with allocated projects in consultation with ACLS Procurement and Contract Management teams.
- Monitor contract budgets and provide input into relevant reporting to key stakeholders. Report upon performance standards such as timelines, budgets, quality of outcomes and outputs
- Work with project managers to identify dependencies between projects and to ensure sequencing of initiatives which will maximise outcomes.
- Produce program or project reports and provide advice to enable effective decision making
