About the Role:
We are seeking an experienced Administrator on a full time, fixed term basis, to join our small and tight knit team in Casterton. As a key team member in the district, you will play a pivotal role in supporting our district office and volunteer members whilst providing guidance to staff, ensuring resources are allocated appropriately.
Your main duties will include:
- Efficient office management: ensure the District/Regional office operates effectively, prioritising tasks and issues on behalf of Management and staff.
- Customer service: Serve as the first point of contact for internal and external clients, handling interactions with diplomacy, confidentiality and professionalism.
- Document management and preparation: Oversee the preparation, retention and accessibility of reports and documents using the appropriate record management systems. Draft correspondence, presentations, briefing notes and reports often involving research and data interpretation.
- Relationship building: cultivate strong networks and cooperative relationships with internal and external stakeholders, ensuring timely and professional resolution of issues.
- Coordination: manage schedules, travel arrangements and meetings for managers and staff. Coordinate meetings, including agenda preparation, catering, minute taking and follow up of action items.

About You:
- Strong organisational and time management skills.
- Exceptional communication and interpersonal abilities.
- A high level of professionalism and discretion.
- Proficiency in MS Office and record management systems. (Experience working with InfoHub, SharePoint, SAP, MYOB or other business accounting systems will be highly regarded.)
- Proven ability to manage competing priorities in a fast-paced environment.
- Experience coordinating meetings, travel arrangements and managing diaries.
- A proactive and resourceful approach to problem solving.
