About us 

The Department of Government Services (DGS) was established on 1 January 2023 to improve everyone's experience of doing business and interacting with the Victorian government. We bring important day-to-day services together in one department to make things easy and seamless for Victorians and businesses. We are doing this by connecting and digitising our systems and platforms across state and local government as well as streamlining our corporate and procurement services.  

About the role 

The Program Administrator is an integral member of the Program Delivery team providing centralised program delivery for grant programs and initiatives that drive policy outcomes across the Victorian Government and for all Victorians.

The Program Administrator provides operational and administrative support to enable successful delivery of grant programs and initiatives including undertaking grant assessments and processing activities, quality assurance and program/project support.

This role requires good knowledge and understanding of grant administration, attention to detail and well-developed organisation and administrative skills to be able to provide high quality and timely support on Grants Centre programs and projects. 

There are multiple fixed term roles available for a period of 2 years.

Key accountabilities include

  • Contribute to the delivery of department grant programs and initiatives by providing high quality operational and administrative support.
  • Deliver a range of grant related tasks in an accurate and timely manner in line with program processes and documentation including grant assessments and processing activities, quality assurance and program/project tracking and support.
  • Contribute to the preparation of high-quality reports and correspondence on a range of program matters to senior management.
  • Undertake other tasks as needed adapting to changing or surging business needs including customer service support for applicants via responding to e-mails / calls.

About you 

To be considered for the role, you must be able to demonstrate: 

  • Ability to take initiative and ensure high quality deliverables and continuous program improvements including the ability to identify program issues and escalate these to Program Managers.
  • Strong attention to detail and organisational skills together with demonstrated skills in the provision of administrative processes including managing and delivering to work schedule.
  • Sound communication skills (written and verbal) including the ability to contribute to the preparation of quality and timely briefings, reports, and correspondence.
  • Strong interpersonal skills including the ability to establish and maintain effective relationships with a wide range of internal stakeholders.
  • Demonstrated an ability to work in a team with agility, responsiveness to change, effective planning, prioritizing workload along with exceptional administrative skills.
