As our Executive Assistant, you'll play a key role in ensuring the Executive office runs efficiently while gaining exposure to high‑level operations, governance and organisational processes.

About the role

This is a dynamic and varied role where you'll support the CEO, Chairperson and Executive Leadership Team. You'll manage diaries and meeting logistics, coordinate events, maintain records, and prepare high‑quality documents. You'll work with confidential information, liaise with stakeholders, and identify opportunities to improve administrative processes.

This role will require you to:

Manage schedules and logistics for the CEO, Chairperson and Executive Leadership Team

  • Prepare and proofread reports, presentations and Council papers

  • Maintain accurate records and compliance documentation

  • Coordinate travel, events and stakeholder communications

  • Act as a first point of contact for internal and external stakeholders on policy and governance matters

About you

You may be an experienced administrator or executive assistant — or you may be a recent graduate in business, HR or a related field who is ready to step into a broad, fast‑paced administrative role.

What matters most is your enthusiasm, adaptability and willingness to learn.

You will bring:

  • Strong organisational and time management skills

  • Excellent written and verbal communication skills

  • A proactive approach and the confidence to take initiative

  • Accuracy, attention to detail and the ability to juggle competing priorities

  • Proficiency in Microsoft Office (experience with TRIM or similar systems is an advantage but not essential)

  • A strong customer‑service mindset

  • The ability to work both independently and as part of a team

  • A commitment to VIT's purpose and child‑safety principles

We encourage applications from early‑career professionals and new graduates who are motivated, eager to grow and looking for a role that offers genuine learning opportunities.
