About the opportunity
The Property and Asset Officer supports the effective day‑to‑day management of Energy Safe Victoria's fleet, facilities and property services. Reporting to the Property and Asset Lead, this role plays a key part in ensuring fleet operations and workplace facilities run smoothly, responsively and in line with organisational requirements.
This is a varied, hands‑on role suited to someone who enjoys coordinating services, supporting colleagues, and keeping things running behind the scenes.
You will contribute by:
- Supporting fleet operations, including vehicle leasing and delivery, mileage tracking, insurance claims, infringements, fuel cards, tolls and parking passes.
- Maintaining accurate fleet records and reports, supporting budgeting, FBT tracking and financial reconciliations.
- Coordinating vehicle maintenance, repairs and driver queries, working closely with internal stakeholders and external providers.
- Providing administrative support for building and facilities services, including security access, maintenance requests, cleaning and trade services.
- Assisting staff with property and facilities queries and advising on relevant processes.
- Raising purchase orders, reviewing invoices and supporting financial administration.
- Reviewing and updating procedures and documentation, and supporting other activities as required by the Property and Asset Lead.
To be successful, you'll have:
- Experience in an administrative role supporting fleet and/or facilities management.
- Strong customer service skills, with the ability to respond professionally to staff and stakeholder needs.
- Proven ability to maintain accurate records, manage data and prepare reports.
- Well‑developed communication skills and experience liaising with internal teams and external service providers.
- Strong organisational and time‑management skills, with the ability to manage competing priorities.
- High attention to detail and a proactive, solution‑focused approach.
- The ability to work both independently and as part of a team.
- Solid proficiency in Microsoft Office, particularly Excel for tracking, reporting and registers.
- A current and valid driver's licence.
