Position Details

  • VPS2 Administrative Officer $51,717 - $59,066 plus superannuation and leave loading
  • The usual place of work will be Western Region Business Centre, Level 3, 1 Malop Street, Geelong. However you may also be required to work at other locations within Business Services.

Role Accountabilities:

  • Undertake a range of administrative support functions including the maintenance and management of various records and registers (manual and computerised).
  • Perform keyboard activities as required, including word processing, typing and data entry.
  • Attend to telephone and counter enquires from internal and external stakeholders including members of the public and other Government agencies.
  • Undertake routine financial, personnel, administrative and/or other functions as required.
  • Process a wide range of routine financial, personnel, purchasing, payroll and administrative transactions and maintain stores and equipment.
  • Provide other appropriate support functions and customer service activities.
  • Undertake courier and other distribution/transportation functions.
  • Open, record and distribute incoming/outgoing mail.
  • Prepare routine correspondence on a range of administrative matters and attend to follow-up procedures as required.

Selection Criteria:

Essential Requirements:

  1. Well-developed keyboard skills, particularly in relation to word processing and data entry.
  2. Ability to maintain systematic and accurate financial, payroll or administrative records in a confidential environment.  
  3. Sound interpersonal skills and the ability to provide timely and effective customer service to a wide range of internal and external customers. 
  4. Capacity to prioritise work and operate with minimal supervision
  5. Ability to work within a team environment.
  6. An understanding of the customer service requirements of the position and a demonstrated record of strong commitment and achievement in meeting customer needs.
  7. A proven record of ethical behaviour and a demonstrated commitment to the Victoria Police Code of Ethics and Conduct, Financial Code of Practice, and the Organisational Values

Special Requirements:

  • The successful candidate may be required to undergo and successfully obtain and maintain a National Security Clearance to the level determined by the Department Head. To obtain this clearance applicants must be an Australian Citizen.
  • The incumbent will be required to complete the OHS requirements of the organisation, which may include local level training relating to equipment usage and Hazardous Chemicals.
  • Successful candidates will be required to possess a current Victorian Driver Licence and hold or qualify for an appropriate Victoria Police driving authority within three (3) months.

Other Relevant Information:

  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • While this position will have a nominated usual place of work, the position may be required to work at other locations, in accordance with the provisions of the relevant Victorian Public Service Agreement.
  • The position description is indicative of the initial expectation of the role and subject to changes to organisational goals and priorities, activities or focus of the job.
  • The preferred candidate will be required to undergo security checks which will include fingerprint checks.
  • The successful candidate will be employed pursuant to Victoria Police policies and procedures along with the relevant Victorian Public Service Agreement.
  • The successful candidate will be required to complete the appropriate Declarable Association Acknowledgement Form/s.
  • External applicants will be subject to a probation period of three (3) months.
  • This position may require the incumbent to undertake physical activities (such as accessing files from a compactus).
