Position Details

The Enterprise Information Management Portfolio (EIM) provides expert advice and services focussing on improving the quality, integrity, accessibility, retention and disposal of information and records (regardless of format) throughout the organisation. 

EIM is assisting the organisation to transition from a predominantly paper based environment to a dynamic digital environment in accordance with statutory obligations, governance requirements and industry standards.  This involves establishing business rules to enable the capture of information at the point of creation / receipt through formal ICT systems regardless of format.  Once captured, the information must be accessible and protected until such time it can be destroyed at the end of the information lifecycle.

About the role:

The Information Management Specialist will leverage their working knowledge of the Standards set by the Victorian Keeper of Public Records to support Victoria Police achieve and maintain compliance with these Standards.

The Information Management Specialist is responsible for:

  • Delivery of compliance assessments and services consistent with Public Records Office (PROV) standards;
  • Provision of expert records management advice, tools, procedures, standards and guidelines; and
  • Implementation and support of Victoria Police's records management strategy including change management, training, communications, project management and information technology.

With the organisation planning to implement an Electronic Document and Records Management System (EDRMS), the role will have a dual focus of compliance and involvement in the rollout of the new solution:

  • Information management advice provision to ensure legislative and regulatory compliance;
  • Development, review and input into internal information management policies and procedures;
  • Preparation of reports to inform decision making on information management to achieve legislative and regulatory compliance;
  • In consultation with the Portfolio Manager, lead the implementation of a new EDRMS; and
  • Maintenance of knowledge currency of trends and developments within Information Management sector, providing advice and making recommendations.

To be successful in the position you will have the following competencies:

  • Previous experience in information management compliance advice provision;
  • Familiarity with Information Management Framework and associated Acts, standards, guidelines, policies and regulations.  An understanding of the Victorian Public Sector records keeping standards is preferable;
  • Well-developed written and verbal communication skills;
  • A strong customer service ethos and ability to build and maintain effective relationships; and
  • Excellent problem-solving skills and the ability to work flexibly and under tight timelines.

Requirements and relevant information:

  • A tertiary qualification in a relevant discipline, or industry-based accreditation is highly desirable
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • VPSG5 salary range $98,396 - $119,052 p.a + super + leave loading.
