About the role:
We are seeking a pro-active, intuitive Senior Administration Assistant to join our Occupational Health and Safety (OH&S) Unit to assist in meeting the business needs of the Health Safety and Wellbeing Division.

The OH&S Unit is comprised of 11 OH&S Consultants and an OH&S Operations Manager. The OH&S Unit is responsible for providing OH&S guidance, coaching and mentoring to middle managers and front line employees. The OH&S unit is also required to provide interpretation of the OH&S Act into a policing context and provide strategic guidance relating to workplace safety to senior leaders.

As successful applicant, you will report to the OH&S Operations Manager, OH&S Unit. This exciting new position will assist the OH&S Unit in coordinating, triaging and facilitating all health and safety related activities to the organisation; and will involve interaction with various stakeholders, both internal and external to Victoria Police. In particular, you will be responsible for record management and the monitoring of incidents entered on our reporting system, recording OH&S team meetings and assisting the OH&S operations manager in meeting the day to day administrative requirements of the OH&S Unit.

Your duties will include:

  • Provide high level administrative support          
  • Review reported incidents and Incident Fact Sheets and escalate where required
  • Provide advice on the incident and investigation reporting system.
  • Assist employees through challenges with the reporting system
  • Provide advice around generalist OH&S Admin matters
  • Other business support functions as directed
  • Determine priorities, meet deadlines and effectively balance competing demands with minimal supervision, working autonomously and as a member of a team;
  • Deliver quality support and sound advice to relevant senior managers, internal/external stakeholders, clients and department staff in accordance with relevant guidelines and policies;

As the successful applicant, you will have:

  • Experience working in workplace health and safety environment or hold a relevant OH&S qualification (preferred but not essential).
  • The ability to be self-motivated and work independently;
  • Demonstrated experience in providing quality administrative support;
  • High level organisational skills;
  • Advanced computer skills and the ability to maintain appropriate work recording and monitoring systems;
  • Ability to manage and prioritise competing tasks
  • Demonstrated ability to undertake projects, research issues and prepare reports on sensitive matters within policy framework for consideration of others.

  • You will be required to work from the Victoria Police Centre located at Docklands, Melbourne CBD.
