The Opportunity

A critical role in the success of VicGrid's project delivery function, you will support the team to help it be coordinated, aligned and efficient. You will work closely with the Executive Director (ED) to support day to day matters, in particular managing daily schedules, support in meetings and triaging queries and correspondence.  

Applying a high degree of judgement in your decision making you will need to be a self-starter and driven to succeed. This role operates in complex delivery environment and requires you to support the broader delivery team by embedding yourself in their teams to provide administrative support and project coordination when needed. You will play a lead role establishing and implementing the delivery teams internal working practices which include systems and processes, allowing you to set things up from a blank canvas.

What you will deliver

  • Working in partnership with the ED and broader delivery team, and leveraging your previous experience, you will proactively support a range of day-to-day activities by providing administrative and project coordination support, often pre-empting their needs before they arise.
  • Play a key role in the design and implementation of a range of fundamental systems, processes and protocols to enable the ED and broader delivery team function effectively and meet their timelines.
  • Coordinate responses to a range of external correspondences and internal briefings, which may include editing and proof reading.
  • You will work closely with a diverse range internal and external stakeholders to progress and resolve issues, and do so with a high degree of professionalism and efficiency.

What you will bring

  • A track record of providing administrative support to senior executives and broader teams, preferably in a complex infrastructure project environment.
  • Your written communication skills and meticulous attention to detail will be your asset, with the ability to edit and proofread correspondence.
  • A professional approach to your work, with the ability to operate with a high degree of sensitivity.
  • Your experience setting up processes and systems, using technological solutions and establishing excellent tracking and monitoring processes
