  • Fixed term opportunity up to 12 months (parental leave backfill) to work with a high-performing and passionate team.
  • VPS Grade 4: $97,955 - $111,142 plus superannuation.

The Department of Justice and Community Safety is seeking a Business Support Coordinator to provide a critical role within Corrections Victoria.

About the Business Unit

The Contracts and Infrastructure Branch are responsible for contract management, commercial oversight and advisory services, as well as the effective management and maintenance of all Corrections and Justice Services' prison and related infrastructure. This includes:

  • The management and oversight of major contracts including the three private prisons, Port Phillip Prison, Ravenhall Correctional Centre and Fulham Correctional Centre.
  • Representing the Corrections and Justice Services' interests on infrastructure and construction projects to ensure the best possible outcome for stakeholders and commercial partners.
  • The development and implementation of all required systems, processes and policies to sustain this diverse asset portfolio.

About the Role

The Business Support Officer's primary purpose is to provide high level support to the Office of the Director and Executive Support team within Contracts and Infrastructure Branch.

The role will provide diary management including scheduling and coordinating meetings and preparation of meeting documentation. You will also provide general assistance to the Office of the Director including managing the workflow of departmental briefings and correspondence, writing meeting minutes and arranging transport, flights and accommodation for branch members as required. The role will also be responsible for maintaining branch risk registers.

As the Business Support Officer, some of your duties will include:

  • Providing effective diary management to the Director and General Manager CMB.
  • Co-ordinating and assisting with the drafting of advice to the Office of the Director.
  • Producing written communication on behalf of CV and the Office of the Director.
  • Assisting with HR and recruitment functions including onboarding and offboarding tasks.

About you

To be successful in this role, you will have:

  • Proven experience in providing daily diary management and executive support.
  • Demonstrated knowledge and skills in Microsoft Office applications including Outlook, Word, Adobe, PowerPoint and Excel.
  • Project coordination, monitoring and reporting skills.
  • Demonstrated ability to manage and prioritise departmental correspondence.
  • Excellent interpersonal skills and ability to build and maintain strong working relationships.

Qualifications

  • There are no mandatory qualifications for this role. However, a relevant qualification in a related discipline would be highly regarded.
