Court Services Victoria provides corporate services and facilities to support the performance of the judicial, quasi-judicial and administrative functions of Victoria's courts and tribunal, Judicial College and Judicial Commission.

About the role
The successful implementation of a new CMS is a fundamental aspect of a solid, but flexible, foundation to reduce risk and support the Courts in delivery of their critical functions. A new CMS for MCV and ChCV has been deemed a priority by the Victorian Government due to the growing number of cases in these jurisdictions, as well as the need to better support family violence cases managed through the ChCV, and a need to modernise systems to support changing community and court needs.
Reporting to the Project Director and offered on a 9-month full-time basis, this role provides high-level administrative and project coordination support. Key responsibilities include managing travel and diary commitments, delivering project administration and business support (including governance, purchasing and facilities tasks), and contributing to project communications. The role also supports the broader project team with additional administrative duties as required.
Accountabilities include:
- Proactive calendar & time management: managing complex calendars, scheduling meetings, and preventing conflicts to ensure the Project Director's time is prioritised for strategic, high-value tasks. Including Manage Project Director's mailbox and compiling critical actions into OneNote dashboard.
- Organising travel arrangements for the Project Director.
- Assisting the Project Director and wider PMO team with development of presentations, reports, briefs, agendas
- Management of MS Project schedule.
- Providing purchasing and contract support, using a range of systems to process requisitions and invoices in an efficient and timely manner.
About you
- Demonstrated experience working in a busy project administration/support role in a Project or Program Management Office is desired.
- Experience using financial management tools (such as Oracle) for processing invoices and raising purchase orders.
- Experience in using relevant project support tools such as MS Office suite (Word, Excel, PowerPoint, Project) is essential.
