Position Details
About the Role:
The Administration Officer is responsible for executive and divisional administrative support functions to support the effective delivery of department objectives in a way that aligns with DE's Values. The role and responsibilities of the Executive Assistant will include:
- provide a suite of quality administration support, including email management for the Executive Director of the Senior Secondary Pathways Reform Division
- calendar management including:
- meeting set up/reschedules
- meeting room bookings
- event and meeting coordination as required
- support in the coordination of incoming and outgoing work and provide quality assurance of briefings meeting papers, correspondence and other key documents, including an awareness of Teams Online sites for records management
manage local corporate service functions (invoicing, purchasing, staffing requests, records management and induction support, network and security access and IT equipment requests for new starters and contractors, asset and facilities matters) and liaising with corporate service experts as required - coordinate travel accommodation and flights via CTM (including obtaining quote for approval, making booking and onforwarding invoices for processing).
- liaise with the offices of the Ministers, the Secretary, Deputy Secretaries, other and key internal stakeholders
- identify the needs of the Executive Director of the Senior Secondary Pathways Reform Division and wider Division, and support new processes to meet demands
- build and maintain positive and professional stakeholder relationships and contribute to a divisional culture based on DE's values.
Position attributes: This is a Fixed Term position until 30 June 2027
Attributes Desirable Qualifications and Experience: Experience in a government environment is desirable
About the Department
The department provides a wide range of learning and development support and services. The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.
About the Division
An exciting opportunity exists to join Strategy and Secondary School Reform Group in a key role supporting two Directors of the Senior Secondary Pathways Reform Division. The Division was established to lead a generational reform agenda in response to the 2020 Review into Vocational and Applied Learning Pathways in Senior Secondary Schooling. These reforms will collectively support all Victorian secondary students to pursue high-quality and valued vocational pathways aligned to their strengths and interests and to finish schooling with the skills and capabilities they need for success in further education, training, work, and life.
