About the Division
Project Delivery is responsible for delivering a diverse portfolio of school upgrades, modernization projects and early childhood infrastructure across Victoria.
As our programs continue to evolve, we are strengthening how we work - building a more connected, collaborative, accountable and forward-looking division that combines strong project delivery with excellent governance, planning and executive support.
Executive support plays a critical role in enabling this transformation by helping leaders stay connected, informed and focused on delivering outcomes.
About the Role
As part of a collaborative Executive Support Hub, you will help coordinate the day-to-day operations of the Project Delivery division while supporting the Executive Director and Directors to deliver one of Victoria's largest infrastructure portfolios.
Working closely with senior leaders, the CEO Office, corporate partners and project teams, you will anticipate priorities, coordinate complex activities and help ensure the division operates in a planned, organised and consistent way.
You will play an important role in improving business processes, strengthening governance and supporting better ways of working across the division. Your ability to build trusted relationships, manage competing priorities and bring order to complexity will directly contribute to the effectiveness of the leadership team.
Success in this role will come from understanding how government operates, exercising sound judgement, maintaining strong governance practices and building productive relationships across the department to help deliver outcomes for Victorian communities.

The key accountabilities of the role are to:

- Provide high-quality executive and operational support to Executive Director and Directors, helping coordinate priorities and enable the effecitve operation of the Project Delivery leadership team.
- Coordinate executive workflows, governance activities abd business rhythms, anticipating priorities and supporting the timely delivery of divisional commitments.
- Build strong working relationships across the Office of the CEO, corporate divisions, ministerial offices and external stakeholders to facilitate effective coordination and communication.
- Prepare and coordinate high-quality briefing material, reports, presentations, corrospondence and meeting documentation, ensuring accuracy, consistency and attetion to detail.
- Monitor and follow up priority actions, governnce requirements and organisational commitments to support effective decision-making and delivery
- Contribute to continuous improvement by identifying opportnities to streamline executive support processes, strengthen governance and improve ways of working across the division
- Work collaboratively within the Executive Support Hub to provide flexible, responsive and consistent support across the Project Delivery division
- Coordinate executive administration, including complex diaries, meetings, travel, procurement and other business operations, exercising sound judgement in managing competing priorities.

- Thrives as part of a collaborative executive support team and enjoys contributing to a positive, high-performing culture.
Desirable Qualifications- A qualfication in business administration, project management, public administration or a related discipline or equivalent experience
- Training or certification in project coordination, governance or business improement would be well regarded
Desirable Experience
- Experience supporting senior executives or leadership teams in a complex government or public sector environment
- Experience working within an infrastructure, capital delivery, construction or project-based organisation
- Demonstrated experience coordinating governance processes, executive reporting and ministerial or executive correspondance.
- Experience improving administration systems, business processes or ways of working to enhance efficiency and consistency

- Experience working across multiple stakeholders, including executive offices and corporate support functions, to coordinate priorities and deliver outcomes
- Experience using Microsoft Office applications and corporate systems, records management systems or similar enterprise platforms
