The Office of the Deputy Secretary provides high level executive support and advice to the Deputy Secretary and supports HES to deliver on all priorities, including supporting regular meetings with the Minister, delivering high-quality briefings on time to the Secretary and Minister, coordinating meeting and event briefs and providing overall support aligning with the Deputy Secretary's key requirements.
The Office leads the coordination of Departmental and Ministerial processes on behalf of HES and Office of TAFE Coordination and Delivery (OTCD), including cabinet and legislative functions and planning and reporting functions.
The purpose of this role is to lead positive outcomes for the Deputy Secretary, Higher Education and Skills. The Manager, Strategic Coordination reports to the Director, Office of the Deputy Secretary (DSO) and works as part of a team of staff in the DSO with line management responsibility for a small team, including a VPS 5 Senior Coordination and Advice Officer and VPS 3 Project Support Officer.
- Key responsibilities include: leading the management of relationships with the Minister for Training and Skills and Minister for Higher Education's Office, including organising and coordinating regular meetings between the Minister, the Deputy Secretary and Departmental Executives, and responding to information requests
- working closely with the Executive team and all Executive Coordinators and support staff across Higher Education and Skills (HES) group and Office of TAFE Coordination and Delivery to lead timely delivery of all briefings and information to the Deputy Secretary, HES, the Secretary, DET, and the Minister
- providing advice to the Director on a range of matters as required, and ensuring timely action and delivery of advice to the Deputy Secretary.
- leading the coordination and effective outcomes from HES Governance fora including a range of Executive meetings and committees.
- effective and timely delivery and oversight of the cyclical business planning, risk management and corporate, Parliamentary and Ministerial reporting across the HES Group.
- Lead financial, HR and procurement administration and regular reporting for the DSO.
Lead and participate in virtual teams and the writing of briefs and/or business cases.
