Executive Assistant

Working to the directors of the Accelerated Performance Branch and the Improvement and Accountability Branch, this position will provide high-quality executive and administrative support, as well as support across a range of projects. Successful candidates will demonstrate: a willingness to contribute to a positive division culture, a flexible and highly-motivated approach to work and problem resolution, an interest in the work of the division and willingness to learn, proficiency in executive and administrative support including diary and email management, coordination of information and work requests, event planning, correspondence and record keeping, and application of administrative policies, procedures and protocols. The successful applicant will be part of a dynamic and collaborative executive team, including an executive coordinator and another executive assistant.

Position Details

The primary responsibility of this role is to provide high-quality executive and administrative support to the Directors of the Accelerated Performance Branch and Improvement and Accountability Branch with the Performance Division, and other executives as required. Roles include diary and email management, coordination of information and work requests across the branches, project support including but not limited to event planning, correspondence and record keeping, processing of invoices and payments using Ariba, and application of administrative policies, procedures and protocols.

Reporting to the Executive Coordinator, the successful applicant will demonstrate a high level of flexibility and initiative, and the ability to proactively manage the needs of the directors and projects within the team. They will have strong verbal and written communication skills and interpersonal and stakeholder management skills, including the capacity to liaise with a wide range of internal and external stakeholders. The successful applicant will have the opportunity to create new and improved processes, working collaboratively with the executive support team, and will be encouraged to make the role their own.
