Business Support Officer - Multiple Vacancies

Several opportunities exist within the Business Support Capability function in the Victorian Government's biggest shared service operation. The Common Corporate Support Branch (CCSB) provides corporate services and associated systems to the Department of Families, Fairness and Housing (DFFH) and the Department of Health (DH) under a shared services arrangement. While we're administratively housed within the Department of Health, CCSB forms part of the corporate services delivery capability of both departments. As a valued member of CCSB you will be accountable to provide a wide range of business related administrative and customer service focused support to staff across both DFFH and DH. Our team of around 300 people deliver a range of operational support services and associated IT systems including those used for people management, financial management, procurement, document management, accommodation and office based IT. CCSB uses a flexible task allocation model (also known as the FTA model) to ensure it utilises all its available capacity in the most efficient way according to the changing priorities it receives. This is designed to reduce the workload pressure in particular parts of the branch at particular times caused by fluctuations in demand for many of its services. As a Business Support Officer you will rotate between services at different times and according to priorities to assist with business need and service demands, encouraging you to develop your knowledge and skills in relation to a wide range of services that CCSB provides.

About the role: 

As a valued member of the Common Corporate Support Branch, you will be accountable to provide a range of business-related administrative and customer service focused support to staff across the Department of Families, Fairness and Housing (DFFH) and the Department of Health (DH), including Statutory Bodies. Using your sound reasoning, problem solving and strong interpersonal and communication skills, you will ensure timely and accurate service through a variety of touchpoints.

The Business Support function enables you to rotate between services to assist with business needs. This initiative will encourage you to expand your department knowledge and skills across multiple systems and business units (see DFFH-DH Shared Corporate Services – Common Corporate Support for information on some of these areas) and enable you to share findings and collaborate across teams and other department staff. From this, you will take initiative to provide feedback and recommend improved processes from insights including customer feedback, pain points and experience.

You will input to key documentation including Standard Operating Procedures (SOPs), training materials and advice to customers in relation to the service.

Integral to the success of this position will be your capacity to deliver services and positively impact the customer service expectation of the department's employees.

The work is fast paced and would suit an individual who is able to lead a team in achieving results whilst responding to a rapidly changing environment.

How you'll make a difference:

  • Deliver an exceptional customer experience for a diverse range of shared services offered by the CCSB
  • Actively contribute by performing complex operational support functions including undertaking analysis, leveraging technical skills to ensure the efficient and successful execution of tasks to meet the demands range of administrative and project support functions, including but not limited to, payroll and payment services, facilities, and assets management; fleet management; technology, information, and records management; procurement and finance
  • Utilise corporate systems, databases, spreadsheets and registers using standard software, to support service level agreements
  • Contribute to the development and implementation of improved business practices and processes and support the implementation of new business policies and practices
  • Provide timely and accurate information to enquires 
  • Share responsibility to ensure all documentation, including Standard Operating Procedures (SOPs), training materials and advice to customers in relation to the service are regularly updated according to their own monitoring and reporting of service levels, staff and customer feedback
  • Work flexibly and collaboratively across the business to develop and foster strong positive relationships with stakeholders to facilitate a partnership approach.
