Position Details


The Project Co-ordination Manager works closely with the Executive General Manager, Infrastructure Planning to oversee and manage all aspects of Branch activities. A highly focused, organised, and driven individual, the Principal Advisor will: lead monthly reporting of all Branch projects, coordinate, and deliver department and Ministerial briefings for Executive General Manager review and endorsement and liaise with the offices of the Deputy Secretary, Infrastructure Division and Victorian Health Building Authority, CEO on acquitting daily/ weekly priorities and issues.

The Project Co-ordination Manager will be a highly motivated individual with excellent organisational and communication skills. They will have a proven track record working with Senior infrastructure executives across government and will join the Infrastructure Planning Branch executive team. As such the Principal Advisor needs to develop trust immediately and work collaboratively within a team environment to assist the branch achieve its stated objectives.

The successful candidate will operate in a fast paced, performance focused workplace and will need to manage multiple and competing priorities in a collaborative and collegial manner across the Branch, Division, and Department.

The successful candidate will be able to demonstrate skills and experience in:

  • Office management in a government setting
  • Project programming and reporting, (preferably in health infrastructure)
  • Preparation of department and Ministerial briefings
  • Excellent collaboration skills and capacity to coordinate and manage conflicting deadlines 


  • Managing daily and weekly activities and inputs of the Executive General Manager
  • Coordinating and managing with the offices of the Deputy Secretary, Infrastructure Division and CEO, VHBA, daily/ weekly priorities and issues
  • Project programming and monthly reporting of Branch projects for Deputy Secretary and Ministerial review
  • Preparation of department and Ministerial briefings for review and endorsement by the Executive General Manager
  • Coordination of annual business case submission 
  • Preparation of written and visual presentation material
  • Liaison with other Infrastructure Division branches, department areas and government offices to promote and foster a collaborative work environment.
