The Department is seeking experienced Executive Assistants at VPS3 level. About the role
Executive Assistants provide high quality secretarial and administrative support to Executive Directors and other senior leaders. In addition you will provide administrative support for group activities, as well as supporting business administrative, procurement and financial tasks.

Key accountabilities:

  • Build and maintain good working relationships across the division
  • Manage a constantly evolving calendar and busy inbox 
  • Coordinate internal and external meetings
  • Act as a trusted advisor and take on additional projects and duties as the business requires
  • Preparation of correspondence, letters, reports, minutes and agendas
  • Book domestic travel 
  • Support the wider work group
  • Maintain timely payment of accounts for the team

About you 

You will bring with you experience as an Executive Assistant working in high volume and fast-paced environments. 

As the successful candidate you will bring:

  • Proficient MS Office skills with a willingness to adapt to new technology
  • Strong communication skills in all forms including written, oral, email, telephone and presentation
  • Exceptional time management and organisational skills
  • Independence to work with minimal supervision and direction
  • Exceptional attention to detail
  • Enthusiasm, commitment and a sense of urgency
