VicFleet provide policy and advice on fleet issues, management of the finance lease facility for providing vehicles for government departments and agencies.

About the role

VicFleet are looking for experienced Purchasing Support Officers (VPS3.1) to join the team on a 12-month fixed term and ongoing basis. In this role you will provide a range of administrative and operational activities to support the delivery of an efficient and effective service to clients according to agreed timeframes. The key function is to assist clients in creating quotations and placing orders within VicFleet' s IT database and process vehicle related invoices associated with vehicle purchases.

The key accountabilities are:

  • Interpreting and applying the Standard Motor Vehicle Policy in accordance with the provisions of the policy to all VicFleet customers
  • Planning and managing, for best results, all operational and administrative aspects of vehicle lease and purchase arrangements, including provision of assistance with initial lease quotations to customers within agreed service levels; organising lease terms and conditions; vehicle configuration and accessory options; creating and placing purchase orders with vehicle manufacturers, distributors, dealers, motor body builders or after-market equipment and accessory suppliers 
  • Actively following up scheduled and late deliveries with dealers, and invoice approvals from customer agencies for timely payment
  • Actively working with customers, recommending more appropriate vehicles to better suit operational requirements, monitoring outcomes from changes made and providing reports to customers on fleet related issues and suggested improvements
  • Arranging accounts with fuel providers and co-ordinating fuel cards and monitoring usage to ensure that appropriate guidelines are adhered to

About you

To be considered for this role, you must demonstrate the following:

  • Well-developed interpersonal and communication skills (written and verbal) with an ability to liaise and negotiate effectively with clients, stakeholders, and external suppliers
  • Demonstrated organisational and disciplined approach with an ability to co-ordinate concurrent activities and balance priorities to meet tight timeframes.
  • Strong customer focus and team-oriented approach
  • Demonstrated experience in fleet leasing and or fleet management including vehicle selection, procurement and lease management, and a good knowledge of the motor vehicle industry, leasing, and vehicle product knowledge
  • Excellent computer skills including full use of Microsoft Office applications. 

Experience in using office 365 would be an advantage.
