Position Details

 

DTF is looking to fill a full time VPS3 role as an Executive Assistant to the Director, Revenue Group.

The Revenue Group is responsible for providing analysis and advice to Government on tax policy, intergovernmental financial relations, revenue forecasting and gambling policy.

In this role, you will
• Provide confidential high level executive support services to the Director and the team. This will include all functions of office, time and diary management, including:
o manage diaries to maximise availability and effectiveness;
o manage email inboxes to ensure priority documents are highlighted and required action taken;
o prepare meeting papers (with relevant briefing material from key stakeholders, where appropriate);
o maintain TRIM and correspondence register of all Ministerial and departmental correspondence (record, delegate and action where necessary, all correspondence);
o prepare presentations and general correspondence;
o manage events for team functions; and
o manage travel arrangements using e3 Travel Manager.
• Support the Director and the work group with administration support which will include:
o stationery monitoring and ordering;
o manage invoices and payment of accounts (using ARIBA);
o new starter coordination (using GIPS); and
o manage all processes for staff departures.
• Provide executive support to other areas within the division or Department as a result of annual or sick leave requirements.
• Develop and maintain professional working relationships with key stakeholders across the Department.

This role would suit a candidate who has:
• Demonstrated ability to work under pressure, including the ability to prioritise, schedule own work, manage a busy diary, work with minimal guidance and adhere to strict timelines and quality standards.
• Excellent correspondence management skills and proven capacity to co-ordinate tasks, determine priorities, monitor workflows and operate effectively as a member of a team.
• Demonstrated well developed communication, liaison and interpersonal skills and the ability to liaise with senior management, other government departments and external and internal clients.
• Demonstrated ability to identify problems and develop innovative solutions.
• Proven ability to work flexibly, with limited supervision and/or as a member of a team.
• Ability work as part of a broader team and cooperate effectively with colleagues and stakeholders to achieve work outputs and goals.
• Advanced MS Office and computing skills with proficiency in a range of office software, including word processing, graphics, spreadsheet, desk-top publishing and diary management software; ability to develop and maintain appropriate work recording and monitoring systems.

Experience and qualifications
• Administrative, Secretarial or Office Management tertiary qualification or certificate would be desirable;
• Experience working in an executive/team co-ordination and support role, or similar; and
• Experience in the development and maintenance of office support, systems, financial records and procedures.
