Position Details

The Shared Service Provider is looking to fill a full time, ongoing, VPS4 Executive Assistant role

The main expectations are to:

1. Provide confidential high-level executive support services to the Executive Director and the Executive Leadership team. This will include all functions of office, time and diary management, including:

  • Extensive diary management to maximise availability and effectiveness;
  • managing email inboxes to ensure priority documents are highlighted and required action taken;
  • Implementing and administering office processes and workflow, monitoring progress, and allocating tasks to direct reports of the Executive Director;
  • preparing meeting papers (with relevant briefing material from key stakeholders, where appropriate);
  • maintaining Content Manager and correspondence register of all Ministerial and departmental correspondence (record, delegate and action where necessary, all correspondence);
  • preparing general correspondence;
  • Undertaking quality assurance processes on all out-going correspondence, including memorandums and ministerial briefs; and
  • Organising interstate travel for all staff, preparing travel itineraries for the Executive Director

2. Support the Executive Director and the work group with administration support which will include:

  • stationery monitoring and ordering;
  • managing invoices and payment of accounts (using ARIBA);
  • coordinating new starters using GIPS; and
  • managing all processes for staff departures.

3. Provide executive support to other areas within the division or Department as a result of annual or sick leave requirements.

4. Develop and maintain professional working relationships with key stakeholders across the Department.
