About the role:

This is an exciting opportunity to progress your career and obtain experience working in the Courts and Prosecution Services Division (CPSD) of the Victoria Police Legal Services Department (LSD). Our vision is to be a centre of prosecutorial and legal excellence, with people who are recognised as being fair, just and valued partners in the Victorian justice system.

Victoria Police's LSD provides legal services and advice to support policing, courts, and the Victorian Community. The LSD is led by an Executive Director (who is also the organisation's General Counsel) and employs over 800 staff spread across four divisions – the Office of the Executive Director; the Specialist Legal and Litigation Division; the CPSD; and the Legal Business Operations Division.

This is an exciting opportunity to obtain valuable experience working in the Legal Services Department at Victoria Police within the Melbourne Prosecutions Group, Children's Court Team.

Victoria Police is seeking to fill this position with an enthusiastic, diligent and skilled Administrative Support Officer to undertake a range of administrative duties within the Melbourne Prosecutions Unit and provide assistance to a dedicated team of prosecutorial staff working within the Children's Court Team. As the successful applicant, you will have excellent organisational and time management skills, the ability to work effectively under pressure and proficient stakeholder engagement.

The primary function of this role is to undertake office administrative duties and provide assistance that ensures the effective delivery of a prosecution service to the Children's Court of Victoria. You will work collaboratively with internal and external stakeholders using your excellent communication and interpersonal skills to build positive relationships and uphold the strong reputation of the Children's Court Team.

The successful incumbent will work within an office environment whether the primary subject matter is the prosecution of youth offenders, however, you will also be exposed to broader youth justice issues and content.

Your duties will include:

  • Receiving, recording, management, and maintenance of records for large volumes of briefs of evidence in hard copy and electronically, in a timely and efficient manner with attention to accuracy.
  • Preparing briefs for court by cross referencing the court list against filed and electronic briefs.
  • Effective communication and maintenance of professional relationships and with key stakeholders to ensure the team functions efficiently and effectively.
  • Answering enquiries and reception duties including authoritative and timely advice to managers and other key stakeholders.
  • Answering phone calls.
  • Monitoring and actioning group email accounts.
  • Sorting/booking incoming and outgoing mail.
  • Undertaking other duties as required by line managers.

 

As the successful applicant, you will have:

  • A high level of planning and organisation skill with demonstrated ability to adhere to critical timelines and security requirements.
  • Well-developed computer skills.
  • The ability to work well within a small team environment and autonomously.
  • Demonstrated interpersonal skills to effectively communicate and maintain good working relationships with a diverse range of customers both internal and external to ensure the team goals are met.
  • Demonstrated ability to exemplify, maintain self-discipline and organisation skills with the capacity to provide the levels of integrity and professionalism required by the unit.
  • Flexibility to adapt to and be a champion of change as is necessary for the unit's function.
  • Previous experience within Legal Services and/or Criminal Justice Degree will be highly regarded.
  • A proven record of ethical behaviour and a demonstrated commitment to the Victoria Police code of Ethics and Organisational Values
  • Working autonomously on specific tasks to ensure they are completed in an appropriate timeframe.

 

Requirements and relevant information:

  • One (1) x full-time, fixed term contract position available from 13/01/2025 to 09/01/2026.
  • The salary range for a VPS2 role is $58,539 to $75,175 (covering salary ranges VPSG 2.1 and VPSG 2.2).  Although it is standard practice for selected candidates to commence at the base of the salary range, genuine consideration will be given to a commencement salary within the available range that is commensurate with the successful candidate's knowledge, skills, and experiences. This will be subject to negotiations with the Hiring Manager in the course of the selection process and may include the provision of evidence of a higher income and/or supporting documentation (as required).
  • This position is located at Melbourne Prosecutions Unit, 456 Lonsdale St Melbourne.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • As a member of the Legal Services Department, you will be located on selection, at a specific office within a division for a particular advertised opportunity. However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department.  This supports the Departments commitment to a flexible and deployable legal workforce and professional development opportunities in a range of legal domains.
