About the role:

The Legal Practice Management and Services Unit is located within the Legal Services Department, Victoria Police.  Legal Services has approximately 800 employees who specialise in providing quality prosecutorial and specialist legal advice to support policing and community safety in Victoria.

The Unit is currently recruiting for one ongoing VPS3 Senior Administration Assistant to support the Victoria Police transcription service. The primary role of the Senior Administration Assistant will be to provide data entry, administration and reporting for this service.

Your duties will include:

  • Processing incoming and returned/completed transcription orders with a high level of accuracy, including entering data into the relevant database.
  • Answering and responding to email and telephone enquiries relating to the service.
  • Taking ownership of tasks and working autonomously to meet tight deadlines with high volumes of work.
  • Working in a team environment to achieve common goals.
  • Preparing data for and reconciling invoices from the Supplier with a great attention to detail.
  • Providing administrative, reporting and unit support where required.
  • Maintaining positive working relationships with key internal and external stakeholders.
  • Monitoring of the service in relation to data.

As the successful applicant, you will have:

  • Attention to detail, adhering to prescribed workflows and processes.
  • The ability to work efficiently and independently.
  • The ability to work in a team environment.
  • Good verbal and written communication skills.
  • Demonstrated experience in working with MS Word and Excel.
  • Well-developed customer service and stakeholder engagement skills.

Requirements and relevant information:

  • One (1) x full-time, ongoing position available.
  • The salary range for a VPS3 role is $74,580 to $90,558 (covering salary ranges VPSG3.1 and VPSG3.2).  Although it is standard practice for selected candidates to commence at the base of the salary range, genuine consideration will be given to a commencement salary within the available range that is commensurate with the successful candidate's knowledge, skills and experiences. This will be subject to negotiations with the Hiring Manager in the course of the selection process and may include the provision of evidence of a higher income and/or supporting documentation (as required).
  • This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • As a member of the Legal Services Department you will be located, on selection, at a specific office within a Division for a particular advertised opportunity. However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department.  This supports the Departments commitment to a flexible and deployable legal workforce and professional development opportunities in a range of legal domains.
