Position Details

About the role

The role will be overseeing the administration team as the Team Leader. The applicant will be responsible for all supervision of the team for administration, correspondence, property, and personnel functions across the Police Service Area (PSA).  The local team is spread across two different work locations in Echuca Police Station (3 staff) and Kyabram Police Station (1 Staff).    

The applicant will report directly to the Senior Sergeant stationed at Echuca.   They will be expected to perform administration functions as well as the team leader role so will need to be proficient in all aspects of the role.  The team leader will be responsible for coordinating the team to ensure equity of roles and be able to manage members from multiple work locations.  The applicant will also aid in emergency management situations by providing support in IPOCs to the LAC.  The team leader will be expected to attend and participate in management meetings within the PSA and provide strategic support for administration functions to the S.Sgts. 

The team leader will be responsible for all rostering and human resource matters for their team.  Part of the role is to model the values of the organisation and to be contemporary and innovative in their approach and not afraid to try new systems / processes with a continued focus upon continuous improvement and elimination of waste.  

As this is a new position the team leader will need to evaluate equity in the roles of their staff across all portfolios including but not limited to station books, administration and correspondence, property, archiving, and destruction of files.   The administration team at Echuca will be responsible for the administration for the police complex and all units within due to the creation of this additional team leader role.  The Team Leader will also be responsible to ensure that any performance and integrity issues are dealt with in the first instance and strong leadership is required to ensure the team is performing at the required level and the work is equitable.

As the successful applicant your duties will include:

  • Oversee the performance of the VPS staff across two work locations.
  • Ensuring rostering and recreation leave are evenly spread across the year for the team members.
  • Participate in management meetings and meetings with external customers at the direction of management as required. 
  • Overseeing the management of both internal and external meetings, agenda, minutes and action items to assist the frontline management.
  • Complete administration of files into and out of the station using our internal systems. 
  • Monitor the OIC -PBEA email account disseminating files relating to administration and briefs and allocating hardcopy files for the Senior Sergeant as directed.
  • Oversee the functioning of the property office including destruction, forensic requests, lodging of items and storage requirements.
  • Implement systems that consider the increase of work with the HWP and CIU administration.
  • Manage the HR implication, OH&S responsibilities for their team and deal with any internal personality/ performance issues as per current policy.

 

As the successful applicant, you will have:

  • A contemporary approach to their work.
  • Excellent Microsoft Office application skills in One note, Teams, Excel, Access and Word.
  • An ability to learn and adapt to the internal police systems such as interpose, PEEC, LEAP, and station books, rrap and other systems.
  • A strong work ethic and a mantra of looking for continuous improvement.
  • Ability to work independently and to be able to prioritise workloads and show flexibility and the ability to switch tasks as needed. 
  • Professional written skills and verbal skills and be able to produce high quality written reports or presentations.
  • Highly developed communication skills and the ability to motivate staff to achieve their full potential.
  • A strong leader who can withstand scrutiny and who will hold team members to account.

 

Requirements and relevant information

  • One full time, ongoing VPS3 position available
  • VPS3: $74,580 - $90,558 p.a. plus superannuation
  • The usual place of work will be Echuca Police Station 143-149 Anstruther Street Echuca. However, you may be expected to work out of any location within Western Region Division 5 as required.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
