About the role:

The Medical Advisory Unit provides expert occupational health services and advice to support the operational and recruitment activities of Victoria Police. The core business of MAU is:

  • Conducting pre-employment medical assessments for police recruits, PSOs and PCOs.
  • Direction to Attend the Police Medical Officer to assess members' fitness for duty.
  • Drug and Alcohol Workplace testing of Victoria Police members.
  • Specialist Group Medicals as per statutory requirements.
  • Medical Advice Line – 24/7 service that advises and supports members potentially exposed to blood borne viruses and other infectious diseases.

Experience / Seeking Experience / Understanding of -

  • Demonstrated experience in the provision of high-quality executive / secretariat and administrative support services.
  • Excellent correspondence management skills and proven capacity to co-ordinate tasks, determine priorities, monitor workflows and operate effectively as a member in a team environment
  • Well developed communication, liaison and interpersonal skills and the ability to liaise with senior management and external stakeholders on a range of medical matters.
  • Demonstrated ability to research issues and prepare draft reports and briefings within a project plan or policy framework
  • Proven ability to work flexibly, with limited supervision and/or lead a team and contribute to team or organisation goals.
  • Advanced MS Office and computing skills, including the ability to develop and maintain appropriate work recording and monitoring systems

Position Duties

  • Provide professional high level administration services to the Medical Advisory Unit and Drug and Alcohol Testing Unit with full accountability for the initiation, delivery and improvement of all administrative support functions, including mail and diary management, management and coordination of key processes, contract management and drafting correspondence.
  • Establish and maintain office systems, including registers, filing and records management for all incoming / outgoing correspondence and ensure the confidentiality and integrity of data.
  • Determine work priorities within the area, meet strict timelines and effectively balance competing demands, with minimal supervision, working independently or as a member of a team.
  • Research and prepare a broad range of information and briefing reports on issues for Senior Management and other stakeholders.
  • Coordinate or participate in a range of projects, including researching and preparing information and briefing reports for Senior Management and other stakeholders.
  • Liaise with and provide information on behalf of Senior Management to members of the organisation and external contacts.
  • Liaise with applicants and external stakeholders in regard to medical booklets and results/reports on behalf of Victoria Police.
  • The position may require you to coordinate the delivery, monitoring and improvement of HR and financial activities.
  • Perform Drug and Alcohol testing on behalf of Victoria Police.

Requirements and relevant information: 

  • One (1) x Full time - fixed term position until 30/6/2027 available.
  • This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.

  • The successful candidate will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
