About the division

The Environment and Science Division is responsible for the promotion and protection of the Victoria's rich natural assets and biodiversity, as represented on the parks estate. This division leads conservation strategy, policy, planning and preparation of initiatives, programs and services related to the environment and scientific knowledge. Acquisition of the best scientific knowledge, development and delivery of onground conservation programs, adaptive management processes and production of landscape-scale Conservation Action Plans are all central divisional roles. It's staff of around 20 manage and maintain extensive research and stakeholder partnerships, diverse funding streams, and advice provision and involvement of onground programs across the state.  

 

About the role

The Executive Assistant will efficiently manage the Executive Director's office by providing a high level of administrative support. The position will support and assist the Executive Director and Divisional Management Team in the overall management of the Division in the delivery of divisional objectives and corporate initiatives. Duties would include providing professional administrative support to the Executive Director, establishing and maintaining an efficient office system, contributing to business and budget management, managing ministerial requests, timelines and delivery, managing office files and other records. The position will analyse, develop, and implement improvements to existing work procedures, practices and systems; interface, communicate and resolve issues on behalf of the Executive Director with staff and key stakeholders; manage the Executive Director's diary; schedule appointments, anticipate needs and ensure that the Executive Director has all necessary papers required for meetings; receive, record and prioritise all incoming correspondence and redirect as appropriate; distribute papers from the Executive Director to their direct reports and maintain a follow up system to ensure that deadlines are met; and keep the Executive Director informed of important issues and act as a conduit for information flow.
