Fleet Purchasing and Program Coordinator

The Fleet Purchasing and Program Coordinator (part time) provides operational purchasing, coordination, and administrative support to fleet build, refurbishment, and replacement programs. Reporting to the Senior Fleet Program Lead, the role is responsible for coordinating ordering activities from existing contracts, including cab chassis, components, and free-supply items, seeking quotes where required, processing purchase orders, coordinating goods receipting, and supporting invoicing for unit-funded purchases in accordance with procurement and financial requirements. The role supports fleet program delivery by tracking supplier orders, monitoring production progress against milestones, updating schedules and trackers, and ensuring accurate and timely information is provided to internal stakeholders.

ROLE SUMMARY: 

This includes liaising with Fleet Services, Service Delivery, Equipment & Clothing, Operational Communications, and other internal teams to ensure all components required for vehicle builds and commissioning—such as radio kits, fuel cards, and equipment kits—are available when required.

The Fleet Purchasing and Program Coordinator works closely with the peer Fleet Purchasing & Program Coordinator role, the Fleet Fit-out and Refurbishment Lead, and other internal stakeholders to coordinate resources, logistics and information required to support build, fit-out and quality assurance activities. The role provides critical support to ensure components, equipment and documentation are available when required and that dependencies across purchasing, logistics and build activities are actively managed.

The position also supports VESEP and unit-funded purchases by coordinating ordering in line with approved specifications and build options, assists with tracking expenditure against budgets, and supports ongoing supplier performance monitoring and reporting. The role contributes to continuous improvement by assisting with the refinement of purchasing and coordination processes and supports the Fleet Program Manager in supplier engagement and program reporting activities.
