Position Details

 

The Administration Officer role is a key position in supporting the daily operations of the Division One Superintendent.

 

As the successful applicant, you are directly responsible for the day to day administrative duties including secretariat and diary management tasks for the Division One Superintendent and you will also be responsible for providing a broad range of administrative support services predominantly to the Division One Management team.

With the current trend of online meetings and practices, strong technology and computer literacy skills are required for the role.

As the successful applicant your duties will include:

  • Secretariat duties for the Superintendent
  • Diary Management and organisation of travel requirements for the Superintendent
  • Communicating with key internal and external stakeholders using a variety of communication channels and platforms in a timely and confidential manner.
  • Collection, distribution and recording of incoming and outgoing correspondence in a sensitive and confidential environment
  • Secretariat duties for local Management meetings with internal and external stakeholders, including organising of same.
  • A wide range of general office support duties, including data entry and the use of various software applications relevant to the role with a high level of care and accuracy.
  • Utilisation and maintenance of general office equipment.
  • Archiving and records management.

 

As the successful applicant, you will have:

  • Experience in working in a similar role
  • Strong computer skills and experience in working with computers and a wide range of programs and applications for data entry and records management and a willingness to learn new applications as needed for the role.
  • Ability to work in a team environment, as well as being able to work autonomously and prioritise work with minimal supervision.
  • Good communication skills both verbally and written in all formats and the ability to communicate with all stakeholders relevant to the role.
  • Have good organisation skills, be able to multitask and problem solve where required with a positive attitude.
  • Have an ability to prioritise work and meet strict deadlines with minimal supervision and a commitment to high service delivery standards.
  • Show initiative and proactive work practices.
  • Be adaptable to change. 

 

Requirements and relevant information

  • The advertised position is an on-going full-time position (1.0 FTE) that reports to the Superintendent based at Geelong.
  • VPS2: $55,439 - $71,194 p.a. plus superannuation
  • The usual place of work will be Geelong Police Station, 110 Mercer Street, Geelong. However, you may be expected to work out of any location within Western Region Division One, as required.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • In accordance with the Acting Chief Health Officer's Direction – COVID-19 Mandatory Vaccination (Workers) Directions, you are required to be fully vaccinated and your employment with Victoria Police is subject to proof of vaccination.
