Position Details

About the role:

The Property Division plans, builds and maintains police stations, buildings and facilities throughout Victoria. Situated within the Asset Planning and Strategy team, the role reports directly to the Leasing Manager and is a key member of team working with operational level stakeholders within Victoria Police and central agencies to support the Leasing Manager in securing new Leases, Licences and intergovernmental property agreements as well as managing the administrative functions of the ongoing leased/licenced portfolio.

The portfolio consists of circa 70 Leased and Licenced sites and an additional 50 Radio Base sites. The majority of the portfolio are expense leases including Police Stations, offices, forensic laboratories and warehousing premises. There is a small number of revenue sub-lease and licences that require management.

Victoria Police is a contemporary and agile workplace and supports flexible working arrangements. Minimum three (3) days in the office at 311 Spencer Street Docklands.

Your duties will include:

  • Support the Leasing Manager in the procurement of new leases, licences and intergovernmental agreements for Victoria Police Facilities
  • Engage with our external agency partner to ensure data accuracy, rent payment and critical dates management is accurate and timely
  • Manage the significant expense leasing budget ensuring timing payment of rent and licence fees occurs via internal and external accounts payable team
  • Active management of the revenue and expense budgets and Licence documents for Radio Base sites
  • Raising purchase orders for operations and capital expenditure
  • Arrange lease and licence renewal approval memorandums as directed
  • Preparing and distributing minutes and action items of meetings in a timely fashion.
  • Proactively working to reduce documentation turnaround timelines, driving improvements and maximising efficiency of Lease Administration processes and reporting.
  • Engagement with internal procurement division ensuring compliance at all times

As the successful applicant, you will have:

  • Several years' experience as a Commercial Lease Administrator/Coordinator or Commercial Property Management.
  • You will have the ability to work autonomously, take ownership of and have the ability to prioritise multiple tasks
  • Be able to interact with stakeholders across the organisation.
  • A solid understanding of basic accounting principles will be highly advantageous.
  • This opportunity would suit a team player who is a highly organised and autonomous individual, with an eye for detail and who enjoys working in a busy corporate environment.

Requirements and relevant information:

  • One (1) x full-time, ongoing position available. Part time applicants offering a minimum of 3 days per week would be considered.
  • If the position/s is part time, the salary plus superannuation will be pro rata
  • This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
