Position Details

In this fast-paced and meaningful role, you will work closely with Legal Support Officers, Advocacy Managers, and Solicitors to ensure day-to-day operational requirements are met seamlessly. You will also have the opportunity to engage with the Legal Support Coordinator to identify learning and development opportunities for yourself and the wider support team.

Key Responsibilities

Your day-to-day tasks will be varied and dynamic, including:

  • Court Coordination: Ensuring the efficient coordination of Melbourne-based Filing Hearings, allocating court-listed matters to advocates or counsel, and preparing briefs ahead of court appearances.
  • File & Data Management: Opening and preparing new files for solicitor allocation, and maintaining highly accurate digital records and statistics in our case management systems.
  • Administrative & Tech Support: Preparing and compiling court documents, filing paperwork, managing mail/brief deliveries, and acting as a professional point of contact for telephone enquiries.
  • Continuous Improvement: Identifying opportunities to streamline processes and actively participating in projects, committees, and working groups to drive innovation within the team.

What You Bring

To be successful in this role, you will need to demonstrate:

  • Administrative Excellence: Proven experience providing administrative support to professional staff within a complex, fast-paced, and highly confidential environment.
  • Strong Collaboration & Teamwork: Exceptional interpersonal skills with the ability to build trusted relationships with internal team members, police informants, and court staff.
  • Tech Savviness: Proficiency in Microsoft Office (particularly Word and Excel) and experience working with computerized case management systems.
  • Resilience & Adaptability: The ability to remain calm under pressure, prioritize competing tasks, and meet strict deadlines in an evolving environment.
  • An Innovative Mindset: A proactive approach to continuous improvement, helping to refine systems and practices.
