Position Details
About the Department
The department provides a wide range of learning and development support and services.
The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.
About the Division
The Assurance, Knowledge and Executive Services division provides expert advice and support to the department through a range of portfolio, advisory and assurance services. The division also provides support to the department's executives and ministers and the Office of the Secretary (OOS) and manages all Cabinet and Parliament processes.
This position is in the Ministerial and Portfolio Services (MaPS) team which coordinates the department's delivery of high quality, accurate and timely advice to our ministers and the secretary and assists each of our ministers with the efficient functioning of their office as it relates to the department. MaPS is part of the Executive and Ministerial Services branch which also includes the Cabinet and Parliament team and the Freedom of Information team.
About the Role
The Team Leader, Portfolio Services, leads a small team delivering briefings and correspondence services including monitoring, reporting, training, system and process improvement, and developing and implementing briefings and correspondence guidance and policies.
The team supports executive offices and others across the department with briefings and correspondence learning materials and enquiries and manages ministerial international travel policy and travel arrangements coordination. The team is a key enabler of the Ministerial and Portfolio Services team and the work of our departmental liaison colleagues working in our ministerial offices.
The Team Leader has responsibility for supervising the day-to-day operations of the team, including allocation of resources, monitoring performance, and supporting professional development. The Team Leader also has responsibility for developing and maintaining strong relationships with stakeholders, identifying and driving business process improvement, documenting processes and delivering consistently excellent service.
Attributes
The ideal candidate is adaptable and collaborative, manages changes in priorities and provides excellent customer and team support. They should have strong leadership and people management skills, with the ability to motivate, develop and organise a high performing team to deliver service outcomes. They should be comfortable working within established business processes, identifying and resolving issues as they arise and escalating as required. Effective stakeholder management and customer focus are crucial, ensuring work adds value and meets needs.
Desirable Qualifications and Experience
This role requires previous experience in leading an administrative support and customer focused service function within a dynamic environment with changing priorities.
Demonstrated experience in developing and delivering system and process improvements, including change management activities, within a business administration context is desirable.
Experience in a government department or agency working with briefings and correspondence administration is desirable.
