This position is to provide administrative support to the People and Development team, with an emphasis on staff professional development planning training and events, as well as supporting the recruitment, on boarding and induction processes. The role will require excellent coordination skills and an ability to maturely manage competing priorities. Experience in an HR environment is preferable.

Position Details

WHO ARE WE: Victoria State Emergency Service (VICSES) is a volunteer based emergency service. Our highly skilled and equipped Volunteers are trained comprehensively in a wide range of emergency environments. To minimise the impact of emergencies when they occur and strengthen the community's capacity to recover swiftly and safely, VICSES focuses on working with communities and partners in building resilience to achieve more aware, informed and prepared communities. We support them to understand their risk and the relevance of taking action before, during and after emergency events.
As the control agency for flood, storm, tsunami, earthquake and landslide emergency, we take the lead in the preparation and response for those hazards. Under the coordination of Emergency Management Victoria (EMV), VICSES works within the broader emergency management sector, wherein all agencies and services work as one to ensure the safety of the state.

Enhance the ability of the People and Organisation Development Business Unit by coordinating and providing administration support to the People and Development team.
Manage all the Professional Development requests, including administrative and financial tasks, maintain database and associated reporting.
Support the coordination of service medal and Awards including awards Committee, nominations, medal dispatch, recording and draft routine correspondence, agenda and minutes within the designated timeframe
Provide office support through activities such as managing the People Inbox, finance administration, assist with preparing communications for members, updating information on the ‘HUB' and answering queries and escalating if required.
Enhance the People and Organisation Development Department professional service by assisting with the reviewing, monitoring, and updating the internal HUB to ensure currency of all information and documentation.
Contribute to the success of the team by providing administration support, running reports and updating records in HPE to ensure completeness, accuracy and currency of information.
Provide support to the Employment and Workforce officers with assisting with employment paperwork and recruitment enquiries
Provide support to the People and Development Business Partners on P&D projects, Committees and Orientation programs.
Contribute actively to the maintenance of a safe workplace and ensure that all safety issues are reported via SAFEGATE and addressed as they arise.
Support all team members as required to ensure the Directorate meets the planned goals and objectives while taking initiative to recommend improved processes and using discretion when dealing with sensitive information.
