Position Details

About the role: 

The Briefings and Correspondence Officer provides a central coordination point in the Office of the Minister for Health and Ambulance Services for all incoming and outgoing correspondence and briefings. The position also provides support for front of house reception services as required. You will be required to liaise with a range of stakeholders, so diplomacy, discretion and a strong customer service attitude are vital. You should possess excellent administrative process skills, reliability, and sound judgement to ensure that the presentation of the Ministerial office to all stakeholders always evidences professionalism, compassion, and accountability.

About you:

The successful candidate will:

  • Track and monitor incoming and outgoing correspondence and briefings, liaising with colleagues as required to ensure that deadlines are met
  • Create and distribute appropriate reports to reflect current tasks in the office.
  • Liaise effectively with departmental senior management, other government and non-government organisations, and, at times, external clients to understand their needs, develop options, and respond accordingly, ensuring that all issues are pro-actively addressed.
  • Process and pay invoices, using a procurement card as approved, and monitor the stock of office supplies.
  • Monitor and manage internal information and communication systems including Microsoft Teams sites, shared mailboxes, and SharePoint.
