About the Opportunity

The Exhibition Production Team sits within the larger Exhibitions team at State Library Victoria, and leads end-to-end production, project management and successful delivery of the Library's forward program, annually comprising three major exhibitions and other audience-focused exhibits, commissions and displays.

The Exhibition Producer role coordinates the production (development and delivery) of Library exhibition projects, reporting to the Exhibition Production Manager and working closely with the wider Exhibitions team, including the curatorial team, and subject and technical specialists.

The Exhibition Producer oversees and coordinates the development and delivery of a range of exhibition projects, which can include major and touring shows, displays and changeovers. They may also support stand-alone commissions, programs, site-wide activations, outdoor activations and digital experiences.

Key to this role is working collaboratively with other Library teams, and internal and external stakeholders to deliver and maintain exhibitions and activities within project timeframes and budgets. 

The Exhibition Producer is accountable for the following measurable outcomes:

  • Coordinating the production and maintenance of exhibition projects, ensuring high quality production within designated time frames and budgets.
  • Engaging with teams across the Library and external partners and specialists, including curators, serving as the primary point of contact to ensure the successful delivery of exhibitions.
  • Coordinating daily activities and communications associated with the delivery of exhibitions, including changeovers, touring and digital experiences.
  • Supporting the operations and maintenance of exhibition spaces; including providing exhibition maintenance plans.
  • Contributing to the creation of schedules and timelines for projects, setting milestones and deadlines so that projects are delivered on time and on budget.
  • Provide support for financial and contractual processes for the project including tracking and maintaining budgets, procurement, invoicing, RFQs, acquittals to ensure successful financial administration of projects.
  • Ensure accuracy and compliancy around project documentation including project milestone documentation and presentations and risk and quality assurance processes. 
  • Communicate relevant information regularly with teams across the branch and Library to ensure seamless delivery.

About You

The ideal candidate possesses solid professional knowledge of all facets of exhibition co-ordination and demonstrated experience in a similar role. Confident in producing and managing clearly defined schedules, you take unexpected challenges in your stride, as well as manage potential risks, project needs and timelines 

In addition, you will come to us with:

  • Tertiary qualifications in a related field, or equivalent experience.
  • Demonstrated experience in exhibition production coordination, or similar experience within a cultural organisation.
  • Demonstrated experience creating clear schedules and managing issues in project delivery timelines.
  • Demonstrated experience in project management of exhibitions or audience experiences, preferably in a collecting institution and working with a multidisciplinary team.
  • Demonstrated experience in administering financial and contractual processes, including budgeting and tracking.
