Suburban Rail Loop (SRL) is a city and state-shaping project that will transform Victoria's public transport system, connecting our suburbs and creating opportunities in great places. The 90-kilometre Loop will link every major rail line from the Frankston line to the Werribee line, via Melbourne Airport, better connecting Victorians to jobs, retail, education, health services and each other.

Beyond the rail infrastructure and cross-suburb travel connections, over time SRL will reshape Melbourne from a city centred around a single CBD to a ‘city of centres' – attracting more businesses and people to the broader station areas and creating more jobs in Melbourne's middle suburbs closer to where people live. Local initiatives will include new and improved open and public space, tree planting, more walking and cycling paths, retail and hospitality areas and plazas.


About the opportunity

Reporting to the Manager, Information Management, your key accountabilities will include:

  • Working closely with project teams to understand their business needs in ensuring the best practice information management frameworks are effectively developed and implemented
  • Following consultation, developing and implementing electronic document and records management processes and procedures
  • Promoting and communicating good recordkeeping and document management practice across the organisation and identifying opportunities for improvement
  • Ensuring adherence to existing legislation and Public Record Office of Victoria (PROV) guidelines and standards is maintained
  • Ensuring the Records Management System access protocols are understood, applied and maintained for the duration of the project
  • Assisting in coordinating the completion of maintenance tasks, configuration changes, enhancements, product upgrades, education and training for the Office365 environment (Microsoft Teams)
  • Managing and maintaining the organisation's Records Management System (Records365), checking compliance and overseeing the archiving, retention and disposal processes
  • Managing the organisation's Information Management Helpdesk, ensuring that all requests are responded to and closed-out within set time frames

You will be expected to work 3 days a week in the office and 2 days a week from home or other remote locations. This arrangement is subject to change in accordance with government legislation, policies and guidelines as well as internal policies.

About you

To succeed in the role, you will have/be:

  • Extensive experience developing and implementing records management systems and procedures
  • Extensive experience maintaining electronic records and document management system within the Office365 environment
  • Knowledge of records management principles including filing systems, naming conventions, metadata requirements, business classification systems, archiving, retention and disposal
  • Ability to design records management procedures and processes based on client needs
  • Outstanding project management skills
  • Excellent interpersonal and stakeholder management skills
  • A gifted communicator with ability to explain concepts and processes and convey information, ideas and insights in ways that maximises understanding
