About the branch

The Corporate Services branch provides critical strategic and operational support services to ensure the continual success and advancement of the VGSO. Balancing an appreciation of the complexities and nuances of the public sector, along with the requirements of operating in a competitive legal services environment, the Corporate Services function delivers proactive, effective and efficient services to VGSO's internal and external clients. Functions within Corporate Services include; Finance, Business Development and Marketing, Information, Communication and Technology (ICT), Strategic and Business Planning, Business Support and Administration.

About the role

The Executive Assistant is a newly created role within the Office of the Chief Operating Officer (COO). This pivotal position serves as a crucial coordinating link between the COO, the Corporate Services Leadership Team, the VGSO Executive Leadership Team, and the rest of VGSO. The role ensures the delivery of administrative and business advisory functions to an exceptional standard.

This position demands a high level of organisation and the ability to prioritise tasks and manage conflicting workloads effectively, ensuring deadlines are met without compromising quality. The successful applicant must exercise discretion, particularly regarding confidential and sensitive matters. Additionally, the role requires excellent communication skills and the ability to balance competing priorities in a fast-paced environment, working effectively as a team member.

Your contributions will drive process improvements, enhance efficiency, and foster an innovative and supportive work environment. 

Skills and experience 

  • Relevant tertiary qualifications in a related or aligned discipline.
  • Proven experience in provision of high level administrative and executive support services at senior management level.
  • Experience in operating in a continuous improvement cycle centred on implementing systems, processes and information management to ensure best practice administration and coordination..
  • Excellent communication, negotiation, and stakeholder management skills, with the ability to effectively engage and influence stakeholders at all levels.
  • Strong skills in coordinating a range of concurrent tasks, managing competing demands, meeting work deadlines, taking initiative and working effectively with others in a dynamic work environment
