About the role:

Located within the CEO Office, this exciting and highly impactful full-time position offers a unique opportunity to work closely with the Chief Executive Officer, Chief of Staff, and senior Executives. As a key player in the organisation, you will have the chance to develop and nurture strong relationships across VicHealth and with important external stakeholders—including staff in ministerial offices, government departments, and partner organisations. If you thrive in a dynamic and fast-paced environment, your exceptional organisational and prioritisation skills will be vital in supporting the diverse needs of the CEO Office.

Reporting to the Chief of Staff, you will provide high-level administrative support, expertly manage stakeholder engagement, and drive collaboration across the organisation. This is a fantastic opportunity for a proactive and dedicated professional to make a meaningful contribution at the heart of VicHealth's leadership.

Key responsibilities:

  • Providing exemplary administrative support for the Chief Executive Officer and CEO Office, including extensive day-to-day calendar and correspondence management.
  • Providing advice and coordination support as required, including drafting and distributing agendas, taking minutes, preparing correspondence and supporting day to day communication.
  • Providing event and administrative support for other CEO Office priorities.

About You:

You are someone who can demonstrate previous experience in a similar Executive Assistant role to a Senior Executive or Chief Executive Officer.
You will have exceptional planning and organising, attention to detail, interpersonal, flexibility and problem-solving skills.
You are able to always represent VicHealth in a professional manner including, when required, at stakeholder events. Some additional out of hours work may be required. A high level of confidentially is required.

Additional experience:

  • Proven experience working as an Executive Assistant to a senior Executive or Chief Executive Officer
  • Managing domestic and international travel arrangements including visas, flights, accommodation and schedules
  • Exceptional written and verbal communication skills
  • Strong ability to identify, build and manage and maintain stakeholder relationships
  • High competency with Microsoft Office, including PowerPoint.
