About the role
Southwest Healthcare is seeking a Permanent Part-Time Administrative Support Officer to play a vital role in the smooth operation of our Specialist Clinics at Warrnambool Campus.
In this position, you will be the backbone of administrative support for our Specialist Outpatient Clinics located on Level 3 at South West Healthcare. Your work ensures that patients receive timely appointments and that clinic processes run efficiently behind the scenes.
You will manage referral processing, schedule appointments, and maintain accurate records, providing friendly and professional support to both patients and clinical staff. Your role is essential in creating a welcoming environment and helping the multidisciplinary team deliver exceptional care.
Position Details:
- Permanent Part Time, 48 hours per fortnight
- Location: Warrnambool Campus
- Classification: Administrative Support Officer, Grade 1
- Salary Range: $54,839.20 - $63,138.40 per annum + superannuation
Key Responsibilities:
- Process and manage referrals and appointment bookings to keep clinics running on schedule
- Deliver excellent clerical support and outstanding customer service to patients and staff
- Maintain and organise filing systems and patient information with accuracy and confidentiality
- Collaborate closely with clinical and administrative team members to support daily clinic operations

- You will have proven administrative experience paired with strong communication skills
- You will be confident using computer systems and able to manage multiple tasks efficiently
- You will work independently while also thriving in a collaborative team environment
- You will maintain a professional, approachable, and patient-focused attitude when liaising with clients, staff, and external organisations
- You will be organised, reliable, and able to consistently meet deadlines
