Position Details
THE ROLE
The Senior Executive Coordinator supports key business functions in the Office of the Deputy Secretary in a highly sensitive and complex environment. These varied functions include high-level executive support to the Deputy Secretary, governance and secretariat functions, management of briefings, correspondence and meeting papers, coordination of divisional reporting, drafting high-quality written materials, planning and managing staff events, and other projects as directed. The role manages processes to ensure the division meets expected quality and timeline metrics.
The Senior Executive Coordinator liaises with a wide range of internal and external stakeholders, operating with a high-level of professionalism, initiative, confidentiality and collaboration to develop and sustain strong and effective stakeholder relationships.
Working closely with senior staff to uphold the effective and efficient operation of the Office of the Deputy Secretary, the Senior Executive Coordinator provides support to develop and implement new ways of working, including the development and maintenance of divisional guidance materials.
The Office of the Deputy Secretary is a dynamic working environment. The role requires a multi-skilled, responsive, and proactive individual able to prioritise tasks and be flexible to changing priorities.
ACCOUNTABILITIES INCLUDE
- Operate with high-level of integrity and autonomy in providing a range of high-level executive support, coordination and administration functions; escalate items as appropriate; display organisational awareness, having regard for political and stakeholder sensitivities.
- Provide a key point of contact within the Office of the Deputy Secretary, proactively respond to queries and information requests, provide high-quality information and authoritative advice to stakeholders ensuring advice conforms to relevant guidelines, and take follow up action as required.
- Develop and maintain strong and positive relationships with key stakeholders within the department, as well as other public and private sector agencies and ministerial offices.
