Procurement Services monitors and reports on procurement performance and manages several high-profile strategic projects to minimise procurement risk and support the delivery of value-for-money
About this role:
This role is until 29 January 2027 as Contract Officer and will be responsible for supporting senior members of the contract management team with high level administrative tasks and contract implementation activities, supporting compliance with relevant Whole of Victorian Government (WoVG) and departmental legislation, policies, processes and frameworks.
Responsibilities of this opportunity include:
• Working collaboratively with the contract management team to support the development and implementation of contract management plans and other associated contract documentation in line with agreed performance targets and time frames.
• Developing and maintaining effective relationships with departmental staff, suppliers, and other key stakeholders. Liaise effectively to understand stakeholder requirements and provide assistance aligned with procurement objectives, ensuring that a high level of customer service is provided.
• Drafting and maintaining regular reports on contract performance, including the gathering of information from relevant procurement systems such as Oracle, Zycus and ServiceNow, using tools such as Excel and PowerPoint to support analysis and communication.
• Manage contract records in all relevant systems to ensure that records are up to date and filed in accordance with the relevant policies, including the administration of data in procurement systems to ensure accuracy.
• Support the contract management team in the administration of high value, strategic contracts, including but not limited to, monitoring and reporting on contract expirations, spend, supporting invoice management, performance, drafting documentation, liaising with suppliers and communication with contract stakeholders.
• Provide feedback to the team on issues affecting procurement objectives and compliance with departmental and government policies, to support continuous improvement, best practice and contemporary approaches to procurement practice.
• Ensure that contract activities are managed and delivered in accordance with government legislation, policy, procedures and the department's Contract Management Framework.
• Support the Contract Manager(s) in the delivery of other tasks as required.
Key accountabilities include technical expertise in:
• Contract change control: Raise change orders, negotiate changes with suppliers and update contracts.
• Contract delivery and performance management: Understand the performance metrics in individual contracts. Track and record supplier performance against KPIs and other metrics and support invoice management activities. Provide summary reports on supplier performance.
• Systems expertise: Independently use, navigate and perform reporting in key systems to perform business tasks as required
• Supplier management: Liaise with suppliers to ensure delivery of outcomes that meet or exceed specified outcomes enshrined in contract agreements.
EOIs must be submitted by 14 September 2026 to be considered for this role.
