About this role
The Strategic Relationships branch is currently seeking applications from Library employees only for two (2) interim opportunities.
Philanthropic Programs Officer
- Full-time (1.0) - 38 hours per week
- 6 months - October 2026 to April 2027
- VPS 3.2
Library Sector Project Officer
- Part-time (0.8) - 30.4 hours per week
- 6 months - October 2026 to April 2027
- VPS 3.2
Both roles will primarily focus on providing project and administrative support on an interim basis, to assist with the planning and delivery of key initiatives.
Role 1: Philanthropic Programs Officer
Reporting to the Manager, Philanthropic Programs during this interim period, the activities will include:
- Campaign support: Taking minutes, tracking action items, maintaining organised filing systems. Gathering data for weekly / monthly status updates and post-campaign reporting.
- Event and Attendee Coordination: Assisting with the development and coordination of invitation and RSVP lists, printing nametags and providing in-person support with greeting guests at the registration desk.
- Stakeholder Communication: Monitoring and triaging of dedicated Philanthropic Programs inboxes, responding to donors, members and internal stakeholder queries.
- Donation Processing and financial administrative support: Supporting the Philanthropic Teams with the End of Year Appeal and Bookplates donations.
- Content Updates and Data Entry: Working with the Communications and Marketing teams to refresh website content relating to the Philanthropic Programs portfolio of activity. Updating the CRM with contact information and insights.
- Membership: Supporting VIS and VSOs with membership queries. Maintaining stock levels in the Members Lounge and supporting the development of marketing collateral, both digital and physical.
Role 2: Library Sector Project Officer
Reporting to the Manager, Library Sector during this interim period, the activities will include:
- Alumni and Fellowship Support: Supporting the new Library Sector Alumni Program and the reimagined Gorman Fellowship. Moderating and maintaining the LinkedIn alumni group, supporting alumni engagement activities, and assisting with communications.
- Project administration and reporting: Minute-taking, action tracking, and maintaining organised filing systems. Gathering data and preparing status updates and project reports.
- Content management and data entry: Work with Marketing and Creative Studio to update and maintain website content. Maintaining accurate stakeholder records within the CRM, supporting the capture of contact information, engagement data and insights.
- Event and participant coordination: Assisting the planning and delivery of Library Sector events and programs, including the Future State: Empowering Library Leaders program and the annual State Library Victoria-Public Libraries Victoria planning meeting. Managing invitation and RSVP lists, preparing name badges, coordinating catering and room set-up, and providing on-site event support, including registration and guest welcome services.
- Stakeholder communications: Monitoring and triaging the Library Sector inbox, responding to enquiries, coordinating information requests from local, national and international library stakeholders, as well as internal colleagues. Supporting clear, timely and professional communication across Library Sector programs and activities.
About you
Both roles will require:
- Experience supporting projects and working to agreed timelines.
- Organisational ability and administrative skills, including Microsoft Office capability.
- A high level of attention to detail and accuracy.
- Written and interpersonal communication skills, including capability writing clear and professional business communications.
- A track record in working collaboratively and productively with diverse stakeholders.
- Flexibility and adaptability suited to a fast‑paced environment.
The Philanthropic Programs Officer will also need an interest in / familiarity with the public library / cultural sectors.
The Library Sector Project Officer would benefit from demonstrated experience using a CRM and Project Management system (Salesforce and Asana preferred).
